Privacy Policy

In short: we collect what you need to sign in and what you choose to enter. We use it only to run Maintainly. We don't sell it, rent it, or use it for advertising.

Who we are

Maintainly (maintainly.jeffrup.com) is a maintenance tracking app operated by JEFFRUP LLC ("we", "us"). This policy explains what information Maintainly collects, how it is used, and the choices you have. Questions go to support@jeffrup.com.

What we collect

Guest accounts: if you continue as a guest, we create an account with no email or name. Only the browser you used can get back into it until you add an email or Google account.
Account details: your email address, and the name you choose to show people you share with. If you sign in with Google, we also receive your name and email address from your Google account. If you set a password, it is stored only in hashed form by our authentication provider; we never see it.
What you enter: locations, items, maintenance tasks and schedules, notes on tasks, service log entries and their notes, usage readings (such as miles or hours), costs (what you paid, your own cost estimates, and whether you or a shop does a task), and links to manuals. If you use the setup questions, your answers are used only to create those items; we don't keep the answers separately.
Settings: your preferences, such as theme, distance unit, first day of the week and when tasks count as due soon. Only you can see them.
Sharing details: the email addresses you invite to a location and the access level you choose for them.
Technical information: our hosting and database providers keep standard logs (such as IP address, browser type and time of request) to keep the service secure and working. Your browser stores a sign-in session so you stay signed in, plus a copy of your display preferences so the app looks right while it loads.

Usage analytics: we use Google Analytics to see how Maintainly is used, such as how many people visit, which features they use and whether they come back. It receives the page you're on, your device and browser type, your approximate location and the names of actions such as "item added". It does not receive your email, your name or anything you type into the app. We keep Google's advertising features turned off, and Google Analytics uses cookies to tell visits apart. You can block it with your browser's privacy settings or Google's opt-out add-on without affecting the app.

We do not use advertising trackers, and we do not sell your data.

How we use it

To sign you in and keep your account secure.
To store your maintenance records and show them on every device you sign in on.
To let people you invite see or edit the locations you share with them.
To send emails needed to use the app, such as sign-in links, codes and password resets.
To email people you invite to a location, on your behalf. The invite shows your name and email address and the location's name, and replies go to you.
To estimate upcoming maintenance costs for you, from typical prices and the costs you enter.
To answer you when you contact us, and to fix problems.
To understand which features are used, so we know what to improve.

Information from Google

If you choose Continue with Google, Maintainly requests only your basic profile: your name and email address. We use it only to create and sign in to your Maintainly account and to show your name to people you share locations with. We do not use Google user data for advertising, we do not sell it, and we do not transfer it to others except as needed to provide the service or as required by law. Maintainly's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Who can see your information

People you share with: when you share a location, its members can see that location's items, tasks, notes, log entries, costs and readings, who logged each entry, plus the names and email addresses of the other members. Nothing in your other locations is shared, and your settings are never shared.
Service providers who run parts of Maintainly for us: Supabase (database and sign-in), Netlify (website hosting), Google Workspace (sending sign-in and invite emails), Google Analytics (usage statistics) and Cloudflare Turnstile (blocking automated sign-ups). They process data only to provide their services to us.
When required by law, or to protect the rights, safety and property of our users or others.
If the business changes hands, your information may transfer as part of that transaction, and this policy will continue to apply to it.

How we protect it

Data is encrypted in transit (HTTPS). Database access rules ensure each person can only read and change the locations they own or that were shared with them. No system is perfectly secure, so please use a strong password if you set one.

How long we keep it, and your choices

We keep your information while your account is active. Guest accounts that haven't been used for 30 days are deleted automatically, along with their data.
You can edit or delete items, tasks, log entries and locations at any time. Deleting a location deletes everything in it.
You can download a copy of your data with Export data in Settings › Data.
To delete your account and all data you own, choose Delete account in Settings › Account and confirm with the code we email you. Deletion is immediate. You can also email support@jeffrup.com from your account's address and we will complete the request within 30 days. Copies in backups are removed as those backups expire.
Depending on where you live, you may have additional rights, such as to access or correct your data. Contact us and we will help.

Children

Maintainly is not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

If we change this policy, we will update the effective date above. For significant changes, we will let you know in the app or by email before they take effect.
